Project Coordinator (Elmhurst, IL)
As a project coordinator at Thermosystems, primary responsibilities will be ordering and coordinating the receipt of HVAC equipment. You’ll work on a fast-paced applied sales team assisting engineers and contractors on HVAC projects for new facilities, additions, and renovation projects. Thermosystems provides a comprehensive training program.
Release, track, and verify all equipment for projects
Track the shipment and billing of all projects
Create billing cycles and submit warranty claims
Communicate on a regular basis with internal and external staff in-person, over the phone, and by email on project developments
Serve as a first point of contact for post-sale customer needs
Demonstrate independent judgment by working with customers on issues regarding their project and finding ways to solve problems and/or troubleshoot to achieve the wanted end result
File necessary documentation accurately
- Associate degree in related field is preferred.
- Proven experience in project coordination.
- Must have background using Microsoft 365 Suite

Inside Sales Representative - Parts Division (Romeoville, IL)
This role involves assisting customers and staff by accurately identifying parts, processing orders, and resolving product-related issues. It also includes handling calls and walk-ins, supporting shipping and receiving, and helping train new parts team members.
Works and communicates with inside and outside customers.
Assist with incoming calls, emails, and in-store customers. This includes identifying correct parts, providing conflict resolutions for contractors, and coordinating questions revolving around our equipment/product.
Accurately identify parts.
Process revenue and/or warranty orders revolving around part equipment/product.
Generate part quotes and equipment proposals for customers.
Load and unload trucks/customer vehicles.
Provide training to new parts personnel employees.

Delivery Driver/Warehouse Associate (Romeoville, IL)
You’ll be in charge of managing HVAC Turnkey projects from beginning to end, making sure everything stays on schedule and within budget. The role involves working closely with internal teams, vendors, and customers to keep things moving and ensure each project is a success.
Deliver or pick up orders to customer offices and jobsites.
Transfer product between Thermosystems locations.
Picking, staging, and loading material prior to delivering.
Works and communicates with both the inside and outside sales teams.
Helps keep warehouses clean, organized, and maintained.

Valid Driver’s license with no violations.
Current DOT physical or ability to pass one (A CDL is not required).

In this role, you’ll support the sales process by creating HVAC cost estimates, selecting equipment, and preparing technical docs. You’ll also stay current on products and build strong relationships with vendors and customers.
- Generate accurate cost estimates and proposals for HVAC equipment and related systems.
- Analyze plans, specifications, and other construction documentation to prepare cost estimates.
- Assist the sales team with HVAC equipment selections for engineers and contractors in professional and timely manner.
- Prepare technical documentation for equipment selections/submittals.
- Learn and stay current on HVAC product applications for the manufacturers we represent.
- Develop relationships with manufacturers, vendors, and customers.

Journeyman HVAC Service Technician (Iowa)
The HVAC Journeyman will perform maintenance of HVAC equipment to include repair and replacement of defective equipment, components, or wiring. This role will require intermediate to advanced independent diagnostics, troubleshooting, pipefitting, and brazing of CATI (Chillers) and CATII (Non-Chiller) equipment.
This position is part of the Pipefitters Local 33.
This role can be based in:
- Cedar Rapids, Iowa
- Des Moines, Iowa
- Perform maintenance of all HVAC & applied equipment and on-site start-up procedures.
- Repair and replace defective equipment, components, or wiring.
- Perform intermediate to advanced independent diagnostics, troubleshooting, pipefitting, and brazing of equipment.
- Conduct warranty service application by independently inspecting and testing systems to verify functionality for equipment.
- Verify functionality of new equipment. Educate customers on proper use of equipment, maintenance schedule, and operating manual.
- Problem-solve issues using reasoning and logic.
- Communicate with individuals who installed the system.
- Program new control systems using touchscreens and computers.
- Assist the owner’s representatives to demonstrate that the system has been set up properly.
- Document actions taken on the jobsite to be included with project report.
- Direct discussions with building owners to assist with ongoing maintenance and service.
- Prepare wiring diagrams.
- Wear personal protective equipment when completing service tasks.
- Complete jobsite hazard assessment prior to initiating service and adhere to safety policies and OSHA guidelines.
- Demonstrate professionalism in appearance, verbal, and written communication. Interact with customers by offering status reports of service before, during, and after each call.
- Explain technical information to technical and non-technical audiences.
- Communicate potential sales opportunities to the sales staff through the quote process.
- Record and report billing, inventory, timecards, technician tip reports, product quality reports (PQR), and articles as required.

Turnkey Project Administrator (Elmhurst, IL)
As a Turnkey Project Administrator, you play a vital role in ensuring HVAC projects are executed efficiently by coordinating operations, managing financial tasks, and supporting client and team communication. This position blends administrative expertise with cross-functional collaboration to help deliver successful outcomes.
Assists the Project Manager in the day-to-day execution of projects.
Project accounting including issuing purchase orders, invoicing, account receivables and payables.
Coordination with building owners & clients Certificate of Insurance & Bonding requirements.
Secures building permits with local government agencies as required.
Coordination interdepartmental transactions (e.g. Equipment/Service/Controls/Parts/etc.)
Organize and maintain project documentation within Microsoft SharePoint
Collaboration with both the sales and operations team, as well as outside customers and vendors
All other duties assigned
Minimum of 3+ years of experience in mechanical contracting, project management, or a similar role
Background understanding of construction trades including demolition, HVAC, electrical, plumbing, roofing, rigging, controls
Working knowledge using Microsoft 365 suite + Bluebeam
